2. Scope of this policy
This policy explains how we collect, use, disclose, retain, and protect personal data when you:
- visit or interact with apit.ae;
- submit a Request for Quote or requirement brief;
- contact us by email, telephone, WhatsApp, or another approved channel;
- request product, catalogue, technical, logistics, or commercial information;
- comment on website content; or
- use an account, cart, checkout, or ordering feature if such functionality is enabled.
Third-party websites and services linked from our website operate under their own privacy policies. This includes WhatsApp and any external payment, social-media, map, or communication service.
3. Personal data we collect
3.1 Information you provide
Depending on how you interact with APIT, we may collect:
- your name, company, job or business context;
- work email address and telephone or WhatsApp number;
- delivery destination or project location;
- product family and intended application;
- service environment, dimensions, diameter, coating, tensile or grade requirements;
- quantity, delivery format, required standards, certificates, or documents;
- the content of your inquiry and subsequent correspondence;
- contact-consent choice and the date and version of the privacy notice presented to you;
- account, billing, shipping, and order information if purchasing features are enabled; and
- information submitted with an article comment, including any website address you choose to provide.
Please do not submit unnecessary sensitive personal data, payment-card details, passwords, confidential third-party information, or controlled technical information in a free-text inquiry.
3.2 Information collected automatically
When you use the website, our website, hosting, security, and delivery systems may process:
- IP address, browser and device information;
- date, time, requested URL, referral source, and basic request metadata;
- cookie or consent preferences;
- security, rate-limiting, error, and delivery information; and
- general interaction or analytics data where analytics has been enabled and you have provided any consent required by law.
The APIT inquiry system uses privacy-minimised technical audit records for delivery and troubleshooting. These records may include a generated inquiry reference, timestamp, source page, delivery channel and outcome, and protected hashes used for security or rate limiting. They are designed not to duplicate the customer’s name, contact details, or full requirement message.
3.3 Information from other sources
We may receive business contact or project information from your employer, colleague, authorised representative, referral partner, supplier, logistics provider, or publicly available business source. We use such information only where the source is authorised and the use is lawful.
4. Why we use personal data
We process personal data to:
1. receive, store, assess, and respond to inquiries and Requests for Quote;
2. identify suitable products, specifications, availability, documentation, packaging, and delivery options;
3. communicate with you and keep a record of commercial correspondence;
4. prepare quotations and take steps requested before entering into a contract;
5. supply products and services and administer customer, delivery, payment, and contractual records;
6. operate, secure, troubleshoot, maintain, and improve the website and inquiry system;
7. prevent spam, misuse, fraud, unauthorised access, and excessive automated submissions;
8. comply with accounting, tax, sanctions, trade, legal, regulatory, dispute, and recordkeeping obligations;
9. establish, exercise, or defend legal claims; and
10. send marketing communications only where we have a lawful basis and any required consent.
Submitting an inquiry allows APIT to contact you about that inquiry. It does not automatically subscribe you to unrelated marketing. You may opt out of marketing at any time.
5. Basis for processing
Where applicable law requires a basis for processing, we rely on one or more of the following:
- your clear consent, including consent to be contacted about a submitted requirement;
- steps taken at your request before entering into a contract;
- performance of a contract with you or the organisation you represent;
- compliance with legal and regulatory obligations;
- protection of APIT’s systems, records, rights, and legitimate business operations where permitted by applicable law; or
- another basis permitted under applicable data-protection law.
Where processing depends on consent, you may withdraw that consent at any time. Withdrawal does not affect processing that was lawful before withdrawal or records that APIT must retain for another lawful reason.
6. Inquiry storage and administrator replies
A validated website inquiry may be stored in APIT’s protected WordPress database before optional email or customer-management notifications are sent. Authorised APIT administrators may view the complete inquiry, update its workflow status, and send an email response from the protected inquiry screen.
The inquiry record may include your requirement details, contact and consent information, source page, relevant timestamps, delivery status, and reply history. Email delivery failure does not erase the original stored inquiry. Access is limited to authorised personnel who need the information for sales, operations, privacy, security, or technical support.
7. Cookies and similar technologies
We may use the following categories:
- Strictly necessary technologies: required for website security, consent choices, forms, administrator sessions, and commerce functions such as a cart or account. These cannot always be disabled through our controls.
- Preference technologies: remember choices that improve your experience.
- Analytics technologies: help us understand website use and performance. They are loaded only when enabled by APIT and after any consent required by law.
We do not intentionally use inquiry content, email addresses, or telephone numbers as analytics data. You can change available cookie choices through the website’s consent controls and can also manage cookies in your browser. Disabling necessary cookies may prevent some functions from working correctly.
8. When we share personal data
We may disclose only the data reasonably necessary to:
- authorised APIT personnel and relevant affiliated group personnel;
- website hosting, infrastructure, security, backup, email, communication, CRM, analytics, or IT-support providers acting under appropriate instructions;
- manufacturers, suppliers, testing or inspection providers, and logistics partners where needed to assess or fulfil your requirement;
- payment, banking, accounting, or commerce providers if a transaction is requested;
- professional advisers, auditors, insurers, and legal representatives; or
- courts, regulators, law-enforcement bodies, customs authorities, or other public authorities where required or permitted by law.
We do not sell personal data. We do not allow service providers to use inquiry data for their own unrelated advertising.
9. International transfers
APIT operates in international industrial supply chains. Personal data may therefore be processed in, accessed from, or transferred to countries outside the United Arab Emirates when this is necessary for hosting, communications, technical support, sourcing, inspection, logistics, or fulfilment.
Where required, we use an approved transfer mechanism, contractual and organisational safeguards, an adequacy basis, or your informed consent. We limit transferred information to what is reasonably necessary for the relevant purpose.
10. How long we keep personal data
We retain personal data only for as long as reasonably necessary for the purposes described above and to satisfy legal, accounting, security, warranty, dispute, and contractual requirements.
Our normal website retention approach is:
- complete inquiry records and associated administrator replies: up to 730 days from the relevant record date, unless a shorter or longer period is required for an active commercial relationship, contract, dispute, legal obligation, or approved business need;
- privacy-minimised technical inquiry-delivery audit records: normally up to 90 days;
- security, hosting, and server logs: according to the approved provider and security-retention schedule;
- order, invoice, shipping, tax, and contractual records: for the period required by applicable law and APIT’s approved records schedule; and
- consent records and privacy-request evidence: for as long as needed to demonstrate compliance and resolve related requests.
Deletion from active systems may not immediately remove data from protected backups. Backup copies are isolated, access-restricted, and expire or are overwritten according to the backup schedule.
11. Security
We use reasonable technical and organisational safeguards appropriate to the nature of the data, including access controls, role restrictions, protected administration, validation, anti-spam and rate-limiting controls, backups, monitoring, and secure transport where supported.
No website, email, or internet transmission is completely secure. Do not send passwords, payment-card details, or highly sensitive information through an ordinary inquiry or email. If you believe information has been sent to the wrong recipient or that an APIT system may be at risk, contact us promptly at info@apit.ae.
12. Your privacy rights
Subject to applicable law and relevant exceptions, you may have the right to:
- be informed about how your personal data is processed;
- request access to and a copy of your personal data;
- correct inaccurate or incomplete information;
- request deletion of information that no longer has a lawful retention basis;
- withdraw consent;
- request restriction or cessation of certain processing;
- object to direct marketing;
- request portability where applicable; and
- complain to the UAE Data Office or another competent data-protection authority.
To make a request, email info@apit.ae with the subject “Privacy Request.” Describe your request and identify the email address used in your inquiry. We may need to verify your identity and authority before disclosing, changing, or deleting information. We will respond within the period required by applicable law.
Some requests may be limited where retention or processing is required for legal obligations, contract administration, fraud prevention, security, the rights of another person, or the establishment, exercise, or defence of legal claims. We will explain any applicable limitation where legally permitted.
13. Automated processing
APIT may use automated controls to validate forms, reduce spam, apply rate limits, generate inquiry references, and calculate a non-binding requirement-readiness indicator. These controls do not make decisions that produce legal or similarly significant effects. Product suitability, commercial terms, and order acceptance require human review and confirmation.
14. Children
This website is intended for businesses and professional users and is not directed to children. We do not knowingly solicit personal data from children. If you believe a child has submitted personal data without appropriate authorisation, please contact us so that we can review and delete it where required.
15. External channels and links
If you choose to contact APIT through WhatsApp, your email provider, a social platform, or another external service, that provider will process information under its own terms and privacy policy. APIT does not control the provider’s independent processing. Share only information necessary for your business requirement.
16. Changes to this policy
We may update this policy to reflect changes in law, website functionality, suppliers, or business processes. The current version will be published on this page with its effective date and document version. Material changes may also be communicated through the website or another appropriate channel.
17. Applicable framework and contact
This policy is intended to support APIT’s obligations under applicable United Arab Emirates data-protection requirements, including Federal Decree-Law No. 45 of 2021 Regarding the Protection of Personal Data, together with other laws that apply to a particular customer, transaction, or processing activity.

Publication review note
Before publication, APIT should have this draft reviewed by its authorised UAE legal/privacy adviser and confirm: the exact registered legal entity/controller name, any group-company role, hosting and email/CRM providers, international transfer safeguards, actual cookie inventory, commerce/payment flow, approved retention schedule, privacy-request owner, and whether a separate Data Protection Officer contact is legally required.
